Rush Planning Fees
- Request received 22–45 days before departure: +$200
- Request received 21 days or less before departure: +$300
- These fees account for rearranging my workload, faster turnaround times, and the additional coordination required with partners close to your travel dates.
Multi-Family & Group Bookings
When it applies: Trips involving 3+ rooms or 8+ travelers (weddings, family reunions, girls' trips, milestone celebrations)
Fee: +$300 added to your core planning fee (Single Destination or Multi-Stop Curation)
What's included:
- Managing multiple rooming lists and separate bookings
- Coordinating individual invoices, schedules, and preferences
- Group communications and logistics support
- Guidance through wedding or group room block contracts if required
Air-Only Ticketing Fees
Separate from trip planning fees.
Domestic or simple routes: $25 per person
International or complex multi-city routes: $50 per person
Available for: Premium economy and business class flights
Economy flights: Booked only when paired with a Single Destination or Multi-Stop Itinerary Curation package
Full Itinerary Redesign After Approval
- Fee: $300 flat re-planning fee (in addition to the original planning fee)
- Applies when: You need a full redesign of a previously approved itinerary due to new destinations, new dates, or major concept changes
Changes & Minor Revisions After Booking
- Fee: $50 per change event (date changes, major hotel swaps, significant re-quoting), plus any supplier penalties
- Small tweaks that don't involve re-quoting or rebooking may be waived at my discretion
Important Notes
- All planning fees are non-refundable and cover RoamPhi Travel's time, expertise, and access to trusted luxury partners. Planning fees are separate from the cost of your trip.
- Rush, group coordination, change, and redesign fees are in addition to base planning fees when applicable and will always be discussed with you before being charged.
- Credit card payments incur a 5% processing fee.

How far in advance should I reach out to start planning?
For most trips, 3–6 months in advance is ideal. For complex, multi-stop or peak-season travel, 6–9+ months gives us the best options and availability.
Do you charge planning fees, and what do they cover?
Yes - planning fees cover my time, expertise, research, and access to trusted luxury partners. They are separate from the cost of your trip and are due before I begin creating proposals.
How do payments work for my trip?
You pay my planning fee directly to me, and trip costs (hotels, tours, etc.) are charged by the suppliers or through my booking systems. I’ll clearly outline payment schedules and due dates before anything is confirmed.
How many revisions are included?
Each planning package includes one round of revisions before we finalize and book. Additional major changes or full redesigns after approval may incur an extra fee, which I’ll always discuss with you first.
How will we communicate during the planning process?
Most communication happens via email and a shared itinerary/travel app so everything stays organized. If needed, we can also schedule calls for bigger-picture decisions or to kick off your trip planning.
What happens after I approve the proposal?
Once you give the green light, I secure your bookings, apply any available perks, and send confirmations. Then I organize everything into a clear itinerary so you know exactly what’s happening and when.
Will you help if something goes wrong during the trip?
Yes - trip support is part of my service for curated itineraries. If something unexpected pops up, you can reach out and I’ll help troubleshoot with hotels, tour partners, or airlines whenever possible.
